Billing and Payment Policy
Last updated 15 October 2026
This policy explains how serverserv bills for its services: how invoices work, which payment methods and currencies you can use, how renewals are charged, what happens if a payment is late, and how taxes and payment disputes are handled. It applies to every customer and every product, and forms part of our Terms of Service.
1. Billing terms
- You choose monthly billing or a 1, 2 or 3 year term at checkout.
- Monthly services are billed every month. 1, 2 and 3 year terms are billed once, up front, for the whole term.
- One-time fees, such as the Managed VPS setup fee on monthly billing, are shown in the cart and charged on the first invoice.
2. Invoices
Every charge has an invoice in the client area, and we email it to your account email address. Renewal invoices are created 14 days before the due date. Keep your billing details up to date; they appear on your invoices.
3. Payment methods
| Method | Processed by |
|---|---|
| Visa, Mastercard and American Express cards, Apple Pay and Google Pay | Stripe |
| PayPal balance and cards linked to PayPal | PayPal |
Payments are made on the provider's secure page or form. We never see or store full card numbers.
4. Currencies
- Our prices are set in US dollars (USD).
- Your invoices are in US dollars (USD). The amount and currency on the invoice are what you are charged.
- If your card or account is in another currency, your bank or payment provider converts the amount and may charge a fee. We do not control those rates or fees.
5. Automatic renewal at the same price
- When a term ends, the service renews for the same term at the same price you paid.
- If that price ever has to change, we email you at least 30 days before the renewal date. You can cancel or change term before it renews.
- For terms of 1 year or longer, we also email you a reminder 7 days before the renewal date.
- If you save a card or another payment method, you agree that we may charge it automatically up to 3 days before the due date of each renewal invoice. If a charge fails, we try again once a week for up to 2 weeks and email you each time. You can remove a saved payment method, turn off automatic renewal or cancel online in the client area at any time.
- If you have not saved a payment method, pay the renewal invoice before its due date.
6. Late or failed payment
If a payment fails or an invoice is not paid by its due date, we send reminders by email. If it is still unpaid:
| Step | Web hosting | VPS, Windows RDP, Managed VPS, OpenClaw and n8n plans |
|---|---|---|
| A $10.00 late fee is added | 5 days after the due date | 5 days after the due date |
| The service is suspended (it stops working, its data is kept) | 5 days after the due date | 5 days after the due date |
| Final warning by email | 83 days after the due date | 23 days after the due date |
| The plan is cancelled and the service and all its data are deleted. This cannot be undone | 90 days after the due date | 30 days after the due date |
To reactivate a suspended service, pay every unpaid invoice on it, including the late fee. It is switched back on as soon as the payment clears. A service that has been deleted cannot be restored. Domains follow their own expiry rules, explained in the Domain Registration Agreement.
7. Upgrades and downgrades
You can request an upgrade in the client area. The price difference for the rest of the current billing period is invoiced when you upgrade, and the new price applies from the next renewal. To move to a smaller plan, open a ticket; downgrades take effect at the next renewal unless we agree otherwise.
8. Account credit
You can add funds to your account in the client area. Credit is applied to your next invoices automatically. How credit is refunded is explained in the Refund and Cancellation Policy.
9. Promotions and coupon codes
Promotional prices and codes apply only to the products, terms and dates stated in the offer, cannot be exchanged for cash and cannot be combined unless the offer says so. Each offer says what price applies at renewal. If an offer does not say, the service renews at the price you paid. We may cancel promotional orders that abuse an offer, for example many accounts created by one person.
10. Taxes
Prices on the website exclude taxes. Where we must charge VAT, GST, sales tax or a similar tax, it is added at checkout based on your billing address and, for businesses, your tax ID. We are registered to charge tax in: Nowhere at the moment. serverserv is a small business that does not charge sales tax yet; if that changes, tax will be shown at checkout. Business customers who give a valid tax ID may be invoiced without tax where the reverse-charge rules allow. You are responsible for any other taxes, duties or bank charges in your country.
11. Billing questions and disputes
If you think a charge is wrong, open a billing ticket within 60 days of the invoice date with the invoice number. We will look into it and correct any error, including refunding duplicate or wrong charges in full.
12. Chargebacks and payment disputes
- Please contact us before disputing a payment with your bank, card issuer or payment provider.
- When a payment is disputed, we may suspend the related services and your account until the dispute is resolved, and may remove saved payment methods.
- If the dispute is decided in our favour, or you withdraw it, you must pay any amount still owed and the dispute fee our payment provider charged us.
- If the dispute is decided in your favour, the disputed service ends and we do not charge it again.
- We may refuse future orders from people who file disputes for services they received.
13. Fraud prevention
We check orders for signs of fraud and may ask for proof of identity or of the payment method before or after setup. If we cannot verify an order, we may cancel it and refund it. How we use data for fraud checks is explained in our Privacy Policy.
